Enhanced Share Conversation Dropdown & Toolkit Search
Issue: Navigating the share dropdown was cumbersome for users registered in multiple toolkits, and unclear instruction labels made sharing conversations to activity groups difficult to manage.
Resolution: Introduced a built-in search function within the Activity Toolkit sharing dropdown and updated filtering rules as follows. These changes will make it easier for Facilitators and Participants to find target toolkits and manage chats more efficiently.
Updated Filtering Rules:
Participants: Can view and share to registered Active toolkits only.
Facilitators: Can view and share to Active and Draft toolkits they belong to.
Exclusions:
Hidden Toolkits: Completely excluded from the sharing dropdown for all roles.
Workspace-wide Toolkits: Toolkits open to "all workspace members" remain excluded to enforce registration-only rules
Resolved Toolkit Name Truncation in Share Dropdown
Issue: Cut-off toolkit names made it difficult to verify the correct target toolkit when sharing conversations to Activity Groups.
Resolution: Improved the "Share Conversation" UI layout to display full toolkit names clearly before and after sharing, while the chat header shows all toolkits/ Activity Groups the chat is currently shared to.
Sorting Order: Toolkits are listed chronologically from oldest share (Primary Header) to newest.
Tooltips: Hovering over any long toolkit name in the dropdown now reveals the complete, unclipped title for accurate selection.
Web Search Functionality Restoration
Issue: A minor post-update hiccup briefly interrupted our web search connection, causing search queries to fail in Base Chat and Tool Level.
Resolution: Restored web search connectivity, fully re-establishing reliable, real-time web retrieval across all Base Chat and tool-level executions.

Full Restoration of Shared Activity Group Chats (Live Collaboration Enabled)
Issue: Shared chats in Activity Groups were previously restricted to view-only mode because live interactions were not syncing, causing group inputs to fork into individual "My Chats."
Resolution: Fully restored live group collaboration for Activity Group shared chats. Facilitators and participants can now interact in real-time within a single, unified room.
Smart Prompt Queuing: Prompts run sequentially (First In, First Out - FIFO) with live queue position updates, ensuring smooth processing without message overlap.
Turn-Based Controls: The chat composer locks while your turn is pending. Interactive controls like Stop Generating and Regenerate apply strictly to your active prompt and won't disrupt other group members.
Enforced Model Settings: Model selection now locks uniformly across both the chat owner and participants when restricted by tool level settings.
Improved File Upload Button Behaviour & Input Reset
Issue: The "Upload File" button stayed active even when no file was chosen, causing the file input box to remain uncleared after uploading and occasionally triggering accidental re-uploads of previously selected files.
Resolution: Standardised the file upload state handling to prevent accidental submissions and provide clearer visual status:
Smart Button Logic: The "Upload File" button remains disabled (greyed out) until a valid file is selected.
Automatic Reset: The file selection box automatically clears upon successful upload, resetting the button state.
Duplicate Upload Prevention: Disables re-submitting empty selections to prevent re-uploading previous files.
For Tool Creators:
Tool Wizard Exit & Discard Confirmation Dialog
Issue: Navigating away from the Tool Wizard mid-creation previously closed the window without confirming if the user was ready to leave.
Resolution: Implemented a confirmation dialog box upon attempting to exit or discard an active Tool Wizard session, reducing user error in the tool building process.
Update: Form Field State Preservation during Manual Creation
Issue: Following a recent site-wide update, adding a new field during manual tool creation unexpectedly reset active toggle states and erased text previously entered into existing fields for manual tool creation users.
Resolution: Promptly resolved state preservation so that adding new fields retains all of users' active toggle settings and form inputs.
Expanded Textbox for User File Input Instructions
Issue: A recent layout update narrowed the instruction field, making text entry cramped.
Resolution: Relocated the instruction field to a new line, giving it full width for easier typing and editing.
Collapsible Tag View in Tool Setup
Issue: Tools with numerous tags cluttered the Tool Setup screen, making tool details messy and hard to read.
Note: Tags were moved from ‘Visibility and Checks’ in the previous UI
Resolution: Optimised the tag list display in Tool Setup to show up to 5 tags by default, keeping the interface clean while allowing full tag management on demand.
Clutter-Free Display: Displays the first 5 tags initially to keep the setup view compact.
Expandable Control: Click the +x more pill to view all remaining tags, and select Show less to collapse them back.

Fixed Text Formatting & Alignment Controls in Tool Instructions
Issue: Custom text formatting—such as text colours, alignments, and headings—was not working properly inside the User Instructions editor box during tool setup.
Resolution: Restored full functionality to the text editor. Tool creators can now seamlessly format disclaimers, guidelines, and input instructions for end users.
Reliable Text Styling: Text colour, alignment, headers, bolding, italics, and list options now apply and save as expected.
Responsive Layout: The editor toolbar automatically adjusts and repositions buttons cleanly when resizing your browser window.
Preservation of Temperature Setting During Model Switching
Issue: A minor hiccup was briefly affecting tool's model selection, causing custom Chat Temperature settings to reset to system defaults when switching between AI models.
Resolution: Model-switching state retention for Chat Temperature is now fully restored, ensuring your custom Chat Temperature stays locked in when changing models.
Form Inputs Field Sync and Reliability Fix
Issue: Rapidly adding, deleting, or modifying fields during tool configuration could cause visual glitches—such as fields lingering on screen, duplicate inputs appearing, some fields unexpectedly toggling off, or save errors.
Resolution: Updated form handling so fields update immediately upon creation, updating or deletion, ensuring all rapid tool-level changes save reliably without errors.
Tool Edit Screen Layout Fix
Issue: The Tool Edit screen was not resizing properly on different monitors/ display resolutions or smaller browser windows, causing buttons and panels to get cut off.
Resolution: Updated the Tool Edit screen to resize automatically for smaller browser windows. Most screen sizes will now adjust smoothly, though extremely small widths may still encounter minor display limits.
Clearer Chat Temperature Range Label
Issue: The previous helper text (Enter 0-1 - Default 0.4) was ambiguous, leading some users to believe the upper setting limit was capped at 0.40 instead of 1.00.
Resolution: Updated the helper text to Enter 0.01 to 1.00 (Default 0.40) to clearly separate the valid value range from the default setting. You can refer to this user guide to learn more.
Re-labelling: "Hide Welcome Message" Control
Issue: The old "Hide User Prompt" setting label created ambiguity during tool development workflows.
Resolution: Renamed the control to "Hide Welcome Message" to maintain visual and terminology consistency with Step 2 - Develop configuration settings.
Users can refer to this guide to understand what prompts can be used in the Welcome Message field.
Tool Knowledge File Upload & Drag-and-Drop Support
Issue: The Knowledge Files container lacked visual guidance for adding more files once populated, and manual browsing was the only available upload method.
Resolution: Added drag-and-drop capability to the Tool Knowledge File container, alongside a clear visual prompt ("Click or drag and drop files here to upload") above the file list to streamline uploading multiple files.
For Facilitators and Workspace Managers
Comprehensive Toolkit & Individual User Expiry Management
Issue: Facilitators and administrators lacked clear visibility into user expiry management on the Registered Users page. Furthermore, logic gaps and conflicting scheduling rules between toolkit-level and individual-level expiries caused UI errors, configuration friction, and inconsistent access management.
Resolution: Improved expiry visibility and corrected system logic to establish clear, predictable access controls across both toolkit and individual user levels:
Enhanced Expiry Visibility: Added explicit expiry date displays to the Registered Users view and toolkit management page, enabling facilitators to track custom user access timelines at a glance.
Smart Hierarchy Logic: Aligned expiry rules so that custom individual expiry dates take precedence over toolkit-level expiries. If an individual user's expiry date is set later than the overall toolkit expiration, their access remains active until their custom date passes—optimising subscription management workflows.
Workflow Optimisation: Refined the backend logic and UI setup for scheduled participant expiries, ensuring intended expiration automation.

Dynamic Updates & UI Enhancements for Participant Expiry Management
Issue: Individual participant expiry dates did not refresh automatically when updated, forcing facilitators to close and reopen the window to confirm changes.
Resolution: Individual participant expiry dates now update in real-time, along with visual updates for easier tracking:
Instant Refresh: Changes to individual expiry dates reflect immediately without needing to reopen the window.
Streamlined UI: Relocated the individual expiry date display and matched its colour-coding to the toolkit expiry indicator for clearer visual status.

Workspace Settings Table Pagination Fix
Issue: The "Rows Per Page" dropdown setting in Workspace Settings was non-functional, preventing users from adjusting table view capacities.
Resolution: Fixed the rows-per-page control to restore full pagination functionality and smooth navigation across Workspace Settings in workspaces with many toolkits.
Real-Time Sync for Activity Toolkit Creation
Issue: Creating a new Activity Toolkit required a manual page refresh before it appeared in the interface, preventing immediate access.
Resolution: Activity Toolkits now update dynamically upon creation without needing a page refresh, allowing users to seamlessly access, edit, and manage their toolkits right away.
Platform Focus: Account verification workflow enhancement
For All Users: Improved Sign-Up and Account Verification
Sign-Up Confirmation: After submitting your registration form, a pop-up window will now appear prompting you to check your inbox for a verification link, or to simply sign in if you already have an account.

Update: Multi-Toolkit Conversation Sharing Display
Issue: Sharing a single conversation across multiple toolkits did not clearly list all linked toolkits in the chat header, making shared access difficult to track.
Resolution: A chat can now be shared across multiple toolkits. The chat header now displays a "Has Shared To:" indicator that explicitly lists every active toolkit connected to the conversation thread, enabling users to seamlessly share and manage a single conversation across multiple activity groups.
Update: Refined Chat Count Logic & Labels
Issue: Sidebar chat counters were only for My Chats, and lacked a clear breakdown between personal chats and conversations shared across specific toolkits.
Resolution: Standardised chat counters across the sidebar tabs (My Chats and Activity Group) and introduced a summary panel displaying total chat metrics alongside a hover-to-view itemised list of My Shared Chats grouped by toolkit.
Enhanced Chat Token Transparency & Metric Tooltips
Clearer "Context Window" Label: In the token metrics popover (accessed via the Chat Tokens link at the bottom of the chat interface),
New Metric Tooltips (ⓘ): Hovering over the info icon next to any metric in the popover now provides explicit usage details for Context Window, Billable Input, and Billable Output.

More Informed Media Tags Selection
Updated Dropdown Labels: To help users easily select the right format when adding video links to your Media Tags, we’ve updated the option text in the dropdown menu:
Video | YouTube, Vimeo, etc.: Select this option when using video links from third-party platforms like YouTube or Vimeo.
Video | Direct MP4 Link (.mp4): Select this option specifically when pasting direct links to raw .mp4 video files.

AI Assistant (CAI) Focus: Public tool chaining permissions and risk analysis audit coverage.

Participants Can Select & Chain Public Tools
Issue: When setting up chained workflows within the toolkit, participants had to make copies of the tool previously, resulting in a poorer user experience and tool library clutter.
What Changed: When toolkit permission is enabled, you can now select and chain any tool in your workspace toolkit as long as its Tool Visibility status is set to Public.
How It Works: When a tool owner sets Tool Visibility to Public in the Tool Setup dropdown, all toolkit participants can immediately use and chain that tool in their own workflows—even if they didn't create it.

Update: Enhanced Risk Analysis Reports in AI Lifecycle Optimiser
Issue: Previous risk assessments evaluated limited tool metadata, missing custom text edits to the User Instruction box, like added disclaimers.
Resolution: Risk Analysis Reports now automatically extract and evaluate User Instructions to provide deeper compliance and safety audit coverage. This update also introduces enhanced security benchmarking and refined safe file-handling guidance.

Update: Collapsible Activity Toolkit List: Addressed dashboard clutter on the "My Account" page for users registered across a large volume of toolkits.
Result: Implemented an accordion-style collapsible list structure. By default, a maximum of 5 toolkits display at once, with the remainder expandable on-click. This optimises layout spacing so personal detail forms at the bottom of the page remain quickly accessible.
Fix: Chat Model Dropdown UI Resizing: Resolved a UI layout regression that reduced the size of the model dropdown selection field.
Result: The dropdown model selector now ensures that longer AI model names are comfortably readable for ease of decision making.
For Tool Admins
Update: Expanded Tool Library Search Filters: Broadened the Tool Library search criteria to make assets easier to find beyond just searching by tool name.
Result: Tool admins can now locate tools by searching via the creator's information, in addition to the existing tool name search. New search parameters accept both partial first/last names and creator email addresses.
For Tool Creators and Admins
Update: AI Lifecycle Optimiser Subheader Context: The initial screen now clearly previews the specific reports available under each category, paired with refined subheader descriptions upon selection.
Result: By surfacing the available options directly on the initial screen, users can make a much more informed choice right from the start of your tool auditing and refining workflow.

Focus: Enhancing communication clarity for conversation sharing, restoring presentation controls for exports, and change in media tag rendering formats

Fix: Chat Sharing Indicators & Error States: Resolved an issue where users encountered a misleading "Failed to share chat!" error when sharing to an Activity Group.
Resolution: Previously, this error incorrectly appeared when attempting to re-share a chat. To prevent this, chats already shared to an Activity Group will now display a status tip and have the ‘Share’ button disabled.
Besides, the system now supports sharing a chat across multiple toolkits. We are actively working towards a clearer UI to indicate the toolkits a chat has been shared to.
Update: Granular Conversation Export Controls: Addressed a software regression that temporarily removed the ability to toggle individual message visibility during exports.
Result: Before exporting a conversation transcript into PDF or plain text formats, users can now selectively hide or display specific messages.

Fix: Media Tag & Video Link Rendering Logic: Resolved an ongoing bug where video links and media tags failed to render properly, preventing video files from playing back within the chat interface.
Action: The media component logic has been overhauled to split handling into two definitive configuration paths:

Video | mp4 urls: Specially designated for direct links ending natively with the .mp4 file extension.

Issue: Users maintained mismatching session states across multiple browser tabs, which could cause tools and chats in inactive tabs to be executed within entirely different workspaces.
Resolution: Inactive tabs now detect when a workspace has been swapped elsewhere and notify the user. This provides clear visual cues, allowing users to manually switch and ensure their active workspace is aligned across all tabs.
Fix: Disabled Interaction with Removed Models
Issue: Users could continue conversing with deprecated or end-of-life AI models by replying to older, existing chat threads, even after the model was removed from their workspace.
Resolution: Past chat threads associated with decommissioned models are now properly restricted. This prevents further interaction once model access has been revoked.
Fix: Model Switching in Chat and Tool Conversations
Issue: An intermittent bug prevented users from seamlessly switching between different AI models within standard Chat Conversations and Tool Chats.
Resolution: Model switching functionality has been fully restored as a core feature, ensuring users can select their preferred available models without disruption as long as it is permitted by the tool creator.
For Facilitators and Workspace Managers
Fix: Toolkit Activity Excel Export Data
Issue: Exporting a Toolkit Activity to an Excel (.xlsx) document incorrectly generated User Registration Information instead of the actual Toolkit Activity data.
Resolution: The export function has been corrected to ensure that Facilitators and Workspace Managers are able to download the accurate and intended Toolkit Activity metadata and activity list information.
For Facilitators
Fix: Calendar Picker Validation for Scheduled Expiry
Issue: Unintuitive and unclear toast messages appeared when Facilitators attempted to set an invalid scheduled expiry date (such as today's date or past dates).
Resolution: A strict calendar validation rule has been implemented to make today's date and past dates unselectable, preventing configuration errors before they occur.
Focus: Enhancing system configuration guardrails, user-interface stability, and role-based operational workflows

Fix: Character Encoding in Tool Setup
Resolved a text-rendering bug where special characters within tool configurations were failing to save or display correctly.
Result: Editing Tool Names, Descriptions, and User Instructions is fully functional. The rich-text WYSIWYG editor for User Instructions has been fully restored to accurately render legacy and formatted text layouts. System prompts now display exactly as intended by the tool creator.
Fix: Chat Title Layout Truncation
Addressed a UI display issue where overly long chat conversation titles would push the conversation 'Actions' button entirely off-screen, blocking access to management features.
Result: Distinct character limits and cutoff points have been implemented for both Tool Conversations and New Chats to properly account for long names and preserve button visibility.
Fix: Live Transcription Input Stacking
Resolved an issue where starting a new live voice transcription would inadvertently overwrite existing text in the chat input box instead of appending to it.
Action: Where the workspace permits this feature, users can now seamlessly record multiple snippets and mix both Live and Batch transcriptions without losing existing data.
Update: Strategic Maintenance Downtime Page
Implemented a dedicated server maintenance landing page. Users will now see a status page informing them of active maintenance.
For Tool Creators & Owners
Fix: API Tool Temperature Settings
Resolved an underlying issue where tool-level temperature configurations were failing to be transmitted during backend API calls.
Action: Tool creators can now successfully adjust model temperature to reliably control the creativity or predictability of the model's output.
Update: Quality of Life UI Additions
Addressed inconsistencies in placeholder text and layout for User File Inputs that caused user confusion.
Result: Implemented a new, clickable "Use {context} in your prompts" copy-and-paste shortcut widget directly into the Tool Knowledge and configuration UI, allowing owners to easily reference file-chat variables.
Fix: Tool-Level Max Response Tokens Enforced
Resolved a validation issue where custom response token limits set in tool configurations failed to save or enforce truncation properly.
Result: The system now accurately reads custom token ceilings. Baseline configurations across models have been standardized up to their absolute technical ceilings (e.g., 8,000 tokens) set by System Administrators. To prevent configuration confusion, the field has been renamed to "Max Output Tokens".
Fail-Safe Validation: If left blank, the system will seamlessly fall back to the model's default value. Additionally, empty Chat Temperature fields will automatically fall back to a standard baseline of 0.4.
For Facilitators & Workspace Managers
Fix: Activity Group Status Update Permissions
Corrected an incorrect mapping logic error that restricted Facilitators from changing the operational status of Activity Groups.
Result: Facilitators now have full functional permissions to update and manage Activity Group Statuses directly without requiring Workspace Manager escalation.
Update: Full Workspace Seat Notifications
Replaced generic system errors with descriptive, actionable guidance when a workspace hits its user seat limit.
Result: New users attempting to register into a toolkit within a maxed-out workspace will now see a specific "Insufficient workspace capacity" notification directing them to contact their administrator, preventing confusion during toolkit onboarding.
Focus: Tool configuration logic, post-migration cleanup, UI stability, and image generation updates.
For All Users
Fix: Tool Library Launch Button
Resolved a UI bug where the Tool Library occasionally failed to launch when clicked, while interacting with other action buttons inadvertently triggered the Tool Library menu.
Result: The button logic has been corrected to ensure the menu properly and reliably launches on click.
Fix: Copying CKS Index Tools Logic
Addressed an issue where duplicating a tool using a CKS Index LLM failed to carry over the “Strictness” and “Chunks” parameters from the parent tool, causing them to revert to backend defaults.
Result: The copy function has been updated to successfully inherit the parent's “Strictness” and “Chunks” values. This ensures that the copied tool works as intended by the original tool owner.
Fix: Copied Tools Chat Thread Title
Fixed an issue where a copied tool would default its Chat Thread Title to the Tool’s Name rather than retaining the customised title from the original parent tool.
Result: Copied tools now correctly inherit the parent's Chat Thread Title as the default value. This ensures that customised titles containing field values, such as "{field1} | Job Ad Creator," are preserved during duplication.
Fix: Chat Thread Title Character Limit
Fixed an issue where the name of a conversation (for both Tool and New Chat) was not limited in character count, causing the Actions button to be pushed off the user interface
Result: Character counts for Tool and New Chats Titles have been limited to prevent the Actions button from being pushed off.
Tool Conversation Titles have a higher word count limit to account for longer tool names, while New Chats Titles are slightly shorter.
Update: Image Generation Model Transition
Due to the retirement of DALL-E 3 on May 12, 2026, we have integrated a new image model, OpenAI | GPT-Image 1.5, into all affected workspaces. The legacy DALL-E 3 model has been completely decommissioned and removed.
Action: Users are advised to review their tools' existing prompts and edit any specific instructions referencing "DALL-E," updating them to align with the new image model.
For Facilitators and Workspace Managers
Fix: Activity Group Status Update Permissions
Resolved an issue where Facilitators were restricted from changing the operational status of Activity Groups, with the permission incorrectly limited strictly to Workspace Managers.
Result: Facilitators now have the correct permission set to update an Activity Group Status that they are a Facilitator in.
Fix: Workspace Guest UI Display Error
Following the migration, legacy workspace guests were still being displayed on the User Management page within Workspace Settings.
Result: Guest users have been successfully mapped to Workspace Member status. The frontend UI error has been corrected to reflect the accurate user numbers and roles.
For (Participants and) Facilitators
Fix: Duplicate Activity Item Type Tags
Addressed user confusion caused by duplicate Activity Item Type tags appearing in the system when setting up a Toolkit Activity, which carried over from the CAI 1.0 migration.
Result: The database has been cleaned up and duplicated tags have been removed, resulting in a streamlined and accurate selection process.
When permitted by toolkit, participants adding their own activities to a toolkit will now view the refined and accurate list of tag selections.
Focus: Workspace administration, tool configuration stability, and chat interface enhancements.
For All Users
Feature: Speech-to-Text Transcription: Introduced a new transcription mode directly on the chat input field.
Result: Where workspace permits it, users can now seamlessly dictate their messages using voice-to-text, providing a faster, hands-free way to interact.

Fix: Persistent 'No File Selected' UI: Resolved a temporal visual bug where the "No File Selected" chip would incorrectly remain visible when switching between different conversations.
Result: The chat interface now accurately reflects the correct file selection status for each specific conversation.
Update: New User Redirection: Streamlined the initial login flow for newly registered users.
Result: Upon signing up, users are now seamlessly redirected directly to the "My Account" page, providing a clear starting point and smoother onboarding experience.
Update: My Account UI Simplification: Removed the "Credit Usage" display from the My Account page.
Result: Provides a cleaner, more streamlined interface for managing basic account details.
Update: Tool Wizard Image Generation Decoupling: Updated the underlying process for generating images within the Tool Wizard. Previously, slow image generation times could trigger a "Failed to create tool" timeout error, which often led to users clicking again and accidentally creating duplicate tools.
Result: Tools are now created almost instantly and are functional right away, using a default placeholder image while your custom image generates in the background.
Note: We are currently tracking an issue where the custom image does not automatically refresh on your screen once it finishes generating in the background.
