File Chat 2.0 (Beta) upgrade was completed successfully. It is currently in Phase 1.
Completion of future optimisation and features will be added progressively. To understand how File Chat 2.0 (Beta) currently functions, please read the Important FAQs section.
Auto-Updates: Existing tools using CKS File Chat (📁CKS | GPT-4o | File Chat and 📁CKS | GPT-4.1 | File Chat) have transitioned to compatible models.
Updated Model Names: You will see the new model options in your workspace:
🔶 OpenAI | GPT-4o | [With Uploads]
🔶 OpenAI | GPT-4.1 | [With Uploads]
For BYOK (Bring Your Own Key) Workspaces, a suffix [With Uploads] will be labelled on models that support File Chat.
Direct-to-LLM Processing: Unlike legacy retrieval systems, files are now sent directly to the model as native context for more accurate and responsive outputs.
Mid-Conversation Uploads: Users can now upload files at any point during an active conversation, rather than only when initiating the chat.
Base Chat Support: File Chat can now be used within base chat (standard chat without tools)—previously, it was only available when using tools with limited models.
Model Switching Limitation: Switching models mid-conversation during an active file chat session is currently discouraged.
Because native context direct-processing replaces legacy retrieval, existing knowledge files need to be re-uploaded to be indexed in the new system. Please complete the following steps:
Re-upload Files: Find your tools utilising the Tool Knowledge container, and re-upload the relevant file(s) to your tools. Full guide here.
Test Your Tools: Run prompts using uploaded files to ensure your workflow behaves as expected.
Review Response Quality: Check accuracy, formatting, and overall output quality to align with your specific requirements.
As this is a Beta release, minor post-launch optimisations and fixes are ongoing.
If you encounter any issues:
Seek Help via Issue Reporting Form: Ensure it captures the affected Workspace Name and Tool Name.
Follow our guide below to submit your issue report: Report and Issue / Contact Support
1) What is File Chat 2.0?
File Chat 2.0 is the new system replacing the legacy CKS File Chat. It offers faster processing, improved AI comprehension, and broader file format support.
The upgrade currently supports two models:
🔶 OpenAI | GPT-4o | [With Uploads]
🔶 OpenAI | GPT-4.1 | [With Uploads]
2) How do I use the new File Chat in the AI Assistant page?
Kindly follow the linked guide for more details here.
3) Can I use LLMs other than GPT-4o & GPT-4.1 with the new File Chat option?
Currently, only these two LLM models are supported:
🔶 OpenAI | GPT-4o | [With Uploads]
🔶 OpenAI | GPT-4.1 | [With Uploads]
We will be progressively adding more Large Language Models (LLMs) to the new File Chat feature.
4) Are there any warnings regarding supported models?
Unsupported Models: If you switch to a model that doesn't support File Chat, uploaded files in the chat will be removed.
5) Which file formats are supported for the GPT-4o and GPT-4.1 File Chat options?
The following file formats are currently supported:
Documents: pdf, docx, txt, md
Data: xlsx, pptx, csv, json
Images: png, jpg, jpeg, webp
6) What improvements have been made to file limits?
We have significantly increased system capacity for Phase 1 to support larger documents and richer context across the platform:
Higher File Count Limits:
User File Container: Up to 20 files total per user (used across all your active workspace(s), increased from 10.
Tool Knowledge Container: Up to 20 files per specific tool.
Larger File Size Limit: The maximum individual file size is now 32 MB per file, increased from 5 MB.
7) How do I know how many tokens my uploaded files are consuming?
Unlike the legacy retrieval token gauge, token tracking is now managed directly at the LLM provider level.
Where to check: You can view and track your total context consumption using the 'Chat Tokens' chip located at the bottom of the chat interface.
Understanding File Tokens: File size does not directly equal token count—consumption varies based on factors like text density and the presence of images/tables.
Ongoing Optimisation: Fine-tuned token precision specifically for file context ingestion is actively being enhanced in upcoming patches.
8) How do I manage files during a chat?
Uploading: You can upload files during a conversation, not just at the initiation of the chat.
Deleting: You cannot delete files uploaded at the start of a chat or those from tool knowledge. You may only delete files added mid-conversation.
Visibility: The file name chips at the bottom of the chat (‘Files in this chat’) only display the files you have uploaded, excluding files provided by the tool creator.
9) Can I continue conversing in my existing chat that used a tool with the previous File Chat version?
We recommend starting a new chat session with your tool. Continuing a previous conversation with the legacy file chat will not work.
Please relaunch a new conversation with the updated models after making the required edits as indicated in the above 'Post-Upgrade Action Checklist'.
10) I have existing files in the Tool Knowledge File Container and My File Container, but the LLM is not reading the content.
We recommend that you delete the file from the container and re-upload a fresh copy.
11) Can I get assistance from Capabara Support to extract the file(s) I used in my tool with Tool Knowledge and/or in My File Container?
Due to our Privacy by Design framework, Capabara Support does not have access to any files uploaded by users and cannot retrieve them for you.
12) What features are currently unavailable in the Phase 1 Beta release of File Chat 2.0?
To ensure core platform stability during the Phase 1 rollout, the following capabilities are currently unavailable and will be introduced in upcoming phases:
Model Switching Safeguards: Implement warning alerts that flag incompatible models before a user switches models during an active file chat.
Relaunching tool chats with existing files: Users will be able to relaunch tools in the existing chat session with files attached in the existing chat.
Tool Chain Functionality: Uploaded file(s) will transfer across multiple tools in chained workflows
Sharing chats that include files: Conversations shared via Activity Group will contain attached files.
